1. Personal Information Protection Policy

R-LABS Inc. (hereinafter "the Company") recognizes that personal information must be handled appropriately and carefully under the Personal Information Protection Law and the principle of respecting individual dignity (privacy protection). Based on our understanding that this is closely related to individual rights and interests as well as legal compliance, we pledge to the following regarding the handling of personal information.

  1. We comply with the Personal Information Protection Law, guidelines in the economic and industrial fields regarding that law, and other applicable laws and regulations. We also adhere to generally accepted practices for the handling of personal information and handle it appropriately. Furthermore, we make continuous efforts to improve our practices.
  2. We clarify regulations regarding the handling of personal information and ensure thorough awareness among our employees and others. We also request our business partners to handle personal information appropriately.
  3. When acquiring personal information, we specify the purposes of use and notify or publicly announce them. When necessary, we obtain consent for use and handle personal information in accordance with the stated purposes of use.
  4. When handling personal information, we generally establish retention periods within the range necessary for the purposes of use. Except where otherwise permitted by law, we promptly delete personal information after the retention period expires or after the purposes of use are achieved.
  5. To prevent leakage, loss, or damage of personal information, we implement organizational, personnel, physical, and technical security measures. If any non-conformities occur, we take corrective action to eliminate the cause and prevent recurrence.
  6. Regarding personal information we hold, we accept requests from customers for disclosure, correction, deletion, and suspension of use through designated contact points, and respond sincerely.
  7. Considering the nature and scale of our business, we appropriately acquire, use, and provide personal information. We establish procedures for approving the handling of personal information beyond the range necessary to achieve specified purposes of use, and monitor that personal information is not used for purposes other than those specified, thereby preventing any use beyond the stated purposes.
  8. To respond appropriately and promptly to complaints and inquiries, we establish the responsibilities and procedures of those handling complaints and inquiries. We also take appropriate measures to minimize the scope of any problems that may arise.

2. Purposes of Personal Information Use

Personal information acquired through the services we provide will be used for the following purposes.

  1. User authentication when using the Company's services and display of names and other information on service screens
  2. To promote communication between users on each service
  3. To provide information regarding maintenance and important notices
  4. Implementation of campaigns, projects, and surveys on services and sending of prizes and similar items
  5. To contribute to the improvement of the Company's services and development of new services
  6. To create statistical data in a manner that does not identify specific individuals
  7. For marketing activities related to the Company's and our partners' products and services
  8. To respond to inquiries from customers
  9. Other purposes for which the purposes of use are publicly announced and consent is obtained when providing each service

3. Restrictions on Personal Information Use

The Company will not handle personal information beyond the range necessary to achieve the purposes of use without obtaining prior consent from the individual.
Even when personal information is acquired due to merger or other reasons, we will not handle it beyond the range of purposes prior to succession without obtaining prior consent from the individual.

However, the following cases are exceptions to the above.

  1. When required by law
  2. When it is necessary to protect the life, body, or property of a person and it is difficult to obtain consent from the individual
  3. When particularly necessary for the improvement of public health or promotion of sound development of children and it is difficult to obtain consent from the individual
  4. When cooperation is necessary for a national or local government agency or an entity commissioned by it to carry out duties prescribed by law, and obtaining consent from the individual would hinder the execution of such duties

4. Restrictions on Third-Party Provision

The Company will not provide personal information to third parties without obtaining prior consent from the individual, except in the following cases.

  1. When required by law
  2. When it is necessary to protect the life, body, or property of a person and it is difficult to obtain consent from the individual
  3. When particularly necessary for the improvement of public health or promotion of sound development of children and it is difficult to obtain consent from the individual
  4. When cooperation is necessary for a national or local government agency or an entity commissioned by it to carry out duties prescribed by law, and obtaining consent from the individual would hinder the execution of such duties
  5. When the following matters have been notified or publicly announced in advance:

a. The purpose of use includes provision to third parties
b. The items of data provided to third parties
c. The means or method of provision to third parties
d. That we will cease provision of personal information to third parties upon request from the individual

However, the following cases are not considered third parties as defined above.

a. When the Company outsources all or part of the handling of personal information to the extent necessary to achieve the purposes of use
b. When personal information is provided in connection with the succession of business due to merger or other reasons
c. When personal information is used jointly with a specific third party, provided that we notify you in advance or place you in a position where you can easily access information regarding: (i) the fact that such joint use occurs; (ii) the items of personal information to be used jointly; (iii) the scope of parties with whom the information will be shared; (iv) the purposes of use by each party; and (v) the name or title of the party responsible for managing such personal information.

When R-LABS Inc. uses personal information jointly with a specific third party, or when the purposes of use or the name or title of the management responsible party changes, we will notify you in advance or place you in a position where you can easily access information regarding the changes to be made.

5. Security Management of Personal Information

R-LABS Inc. implements appropriate information security measures and necessary and appropriate supervision of employees to prevent the leakage, loss, or damage of personal information and to ensure the overall security management of personal information.

6. Supervision of Service Providers

When R-LABS Inc. entrusts all or part of personal information handling to a service provider, we require the service provider to enter into a contract that includes confidentiality obligations or to agree to our established terms, and we conduct necessary and appropriate supervision to ensure that the service provider maintains appropriate security management of personal information.

7. Disclosure, Correction, Suspension of Use, and Deletion of Personal Information

When you or your authorized representative request disclosure, correction, suspension of use, or deletion of personal information, R-LABS Inc. will verify your identity and promptly execute the necessary procedures.

8. Cookies and IP Address Information

Cookies and IP address information, by themselves, cannot identify a specific individual and are therefore not considered personal information. However, when such information is used in combination with personal information, we will treat such information as personal information.

9. Revision of Privacy Policy

R-LABS Inc. may revise this Privacy Policy in part or in its entirety.
